This Privacy Policy explains how we collect, use, disclose, and protect information when you use ProdRail.

1) Scope

This policy applies to our website and application, including:

ProdRail is intended for business users (B2B).

2) Information We Collect

A. Account Information (provided by you)

  • Name
  • Email address
  • Password (stored in hashed form)
  • Google OAuth identifier (if you sign in with Google)

B. Billing Information

Payments are handled by Paddle (Merchant of Record). We do not store full payment card details. We may receive limited billing metadata from Paddle, such as:

  • Plan and subscription status
  • Billing country
  • Partial payment method details (e.g., last4) if provided by Paddle
  • Invoice/receipt identifiers

C. Customer Content (data you connect or upload)

To provide the Service, you may connect or provide:

  • App identifiers (Apple App Store app, Google Play package/app ID)
  • Reviews and review metadata (rating, text, date, version, locale)
  • In-app feedback text (if you paste/upload it)

D. Usage Data & Analytics

We use Google Analytics on our marketing site and in-app events to understand usage and improve the Service. This may collect:

  • Device/browser information
  • Pages visited and interactions
  • Approximate location (derived from IP)

E. Logs

We collect server logs for reliability and security (via Grafana Cloud Loki). Logs may include:

  • Timestamps, request metadata, and error information
  • IP address and user-agent (as part of standard web requests)

We do not intentionally log sensitive authentication secrets. Please avoid submitting sensitive personal data in feedback content.

3) How We Use Information

We use information to:

  • Provide, operate, and maintain the Service
  • Authenticate users (email/password and Google OAuth)
  • Sync and process app feedback/reviews
  • Generate insights and clustering (including using OpenAI APIs)
  • Monitor, secure, and debug the Service
  • Communicate with you about service-related matters (support, important updates)
  • Comply with legal obligations

4) AI Processing

We use OpenAI APIs to analyze and cluster feedback to produce insights. Customer Content may be transmitted to OpenAI for processing as part of providing the Service.

5) Legal Bases (where applicable)

Depending on your location, we process data based on:

  • Contract (to provide the Service you requested)
  • Legitimate interests (security, analytics, service improvements)
  • Consent (for certain cookies/analytics where required)
  • Legal obligation (compliance, fraud prevention)

6) Data Sharing

We may share information with:

  • Paddle (payments, subscriptions, tax handling)
  • Hosting provider: Hetzner (VPS infrastructure)
  • Database provider: MongoDB Atlas
  • Analytics: Google Analytics
  • Logs/monitoring: Grafana Cloud (Loki/Alloy)
  • Email delivery: Resend
  • AI processing: OpenAI

We may also disclose information if required by law, to protect rights/safety, or in connection with a business transfer (e.g., acquisition).

7) International Data Transfers

ProdRail is a global service. Your information may be processed in countries other than your own (including where our providers operate). We use reasonable contractual and technical safeguards where appropriate.

8) Data Retention

  • Customer Content: retained until you request deletion or your account ends (unless longer retention is required by law or needed for legitimate purposes like dispute resolution).
  • Logs: retained for 14 days.
  • Billing records: handled by Paddle; we may retain billing metadata as needed for accounting/support.

9) Your Choices and Rights

Depending on your location, you may have rights to:

  • Access or update your account information
  • Request deletion of your Customer Content and/or account data
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent (e.g., analytics cookies where applicable)

10) Security

We use reasonable safeguards including TLS, access controls, least privilege, monitoring, and backups. No system is 100% secure; you are responsible for maintaining the confidentiality of your login credentials.

11) Security Incidents

If we become aware of a security incident that materially affects your Customer Content, we will notify you within a reasonable time.

12) Cookies

We use:

  • Essential cookies/session tokens for authentication and security
  • Analytics cookies (Google Analytics)

You can control cookies via your browser settings. Disabling essential cookies may prevent login.

13) Changes to This Policy

We may update this policy from time to time. If changes are material, we will post an updated version with a new effective date.

These Terms govern your access to and use of ProdRail.

1) Agreement to Terms

By accessing or using the Service, you agree to these Terms on behalf of yourself and (if applicable) your organization. If you do not agree, do not use the Service.

2) The Service

ProdRail is a B2B SaaS product that helps teams ingest and analyze app feedback/reviews and generate insights.

3) Eligibility and Accounts

  • You must be authorized to use the Service for business purposes.
  • You are responsible for maintaining the confidentiality of your credentials and all activity under your account.
  • You must provide accurate account information.

4) Customer Content

"Customer Content" includes app identifiers, reviews, in-app feedback, and related data you connect or upload.

You retain ownership of Customer Content. You grant us a limited license to host, process, transmit, and display Customer Content solely to provide and improve the Service.

5) Acceptable Use

You agree not to:

  • Use the Service for unlawful, harmful, or abusive activity
  • Attempt to access other users' data or interfere with the Service
  • Reverse engineer, decompile, or attempt to extract source code or underlying models
  • Scrape the Service or overload it (including automated requests beyond reasonable use)
  • Upload malicious code or content that violates third-party rights

We may suspend or terminate access for violations.

6) Third-Party Services

The Service may integrate with third-party platforms (e.g., Apple, Google) and uses third-party providers (e.g., Paddle, OpenAI). Your use may be subject to their terms as well.

7) Payments and Billing

  • Subscriptions are offered on monthly and annual plans.
  • Paddle is the Merchant of Record and is responsible for checkout, payment processing, invoicing/receipts, tax handling, refunds, and chargeback handling. Your purchase may be subject to Paddle’s terms and policies presented at checkout.
  • You authorize Paddle to charge fees according to your plan and renewal terms presented at checkout.

8) No SLA / Availability

The Service is provided "as is" and on a best-effort basis. We do not provide a formal SLA.

9) Confidentiality

Each party may receive the other's non-public information ("Confidential Information"). Each party agrees to:

  • Protect Confidential Information using reasonable care
  • Use it only to perform under these Terms
  • Not disclose it except to employees/contractors who need to know, or where required by law

10) Intellectual Property

We own all rights in ProdRail, including software, branding, and designs, excluding Customer Content.

We may use aggregated and anonymized usage data and metrics to improve the Service (not in a way that identifies you or exposes your Customer Content).

11) Termination

  • You may stop using the Service and cancel your subscription anytime.
  • We may suspend/terminate access for non-payment, abuse, or legal compliance.
  • Upon termination, access may end at the end of your billing period (or earlier for cause).

12) Disclaimer

To the maximum extent permitted by law, we disclaim all warranties, including merchantability, fitness for a particular purpose, and non-infringement. We do not guarantee specific outcomes from insights or analyses.

13) Limitation of Liability

To the maximum extent permitted by law:

  • We are not liable for indirect, incidental, special, consequential, or punitive damages, or loss of profits/revenue/data.
  • Our total liability for any claim is limited to the fees paid by you for the Service in the 1 month before the event giving rise to the claim.

14) Changes to Terms

We may update these Terms. If changes are material, we will post the updated Terms with a new effective date.

15) Governing Law

These Terms are governed by the laws of India. Courts in Chennai, Tamil Nadu will have jurisdiction (unless otherwise required by law).

Refund & Cancellation Policy (ProdRail)

Merchant of Record: Paddle

Payments are processed by Paddle, which is the Merchant of Record. Refunds and cancellations are handled in accordance with Paddle's Invoiced Consumer Terms and Conditions.

1) Refund Window and Eligibility

If you are a Consumer (purchasing for personal use), you may have a right to cancel within 14 days from the day after the transaction is completed.

This right to cancel applies only following the initial subscription and not upon each automatic renewal.

Exception: Your 14-day cancellation right does not apply once you have started to access or use the Service (i.e., you have started to “otherwise acquire” the digital content and/or have had the benefit of the Product).

Refunds are provided at Paddle's discretion and may be refused in cases such as fraud or refund abuse.

This does not affect your rights as a Consumer in relation to Products which are not as described, faulty, or not fit for purpose.

If a cancellation/refund qualifies, Paddle will reimburse payments without undue delay and no later than 14 days after being informed.

All refund requests submitted after 60 days from the transaction date will not be processed.

2) Subscriptions and Cancellation

Subscriptions renew automatically until cancelled.

To avoid renewal charges, you should request cancellation at least 48 hours before the end of the current billing period (include your order number and purchase email). Cancellation takes effect on the next payment date.

There are no refunds on unused subscription periods.

3) How to Request a Refund or Cancellation

To request a refund or cancellation, contact Paddle support using the instructions provided on your Paddle receipt/invoice, or reach us at support@prodrail.com and we will help route your request.
